Executive Summary
A single mobile platform for counting, recounts, and carton management
MFABI is a leading third-party logistics (3PL) and warehousing company that manages inventory storage, fulfilment, and warehouse operations for multiple clients across e-commerce and wholesale industries. As warehouse operations expanded, the organisation required a more efficient method to conduct physical inventory counts, verify stock accuracy, and manage carton preparation activities.
To address these challenges, KG CRM Solutions developed a comprehensive warehouse inventory management application using Zoho Creator. The solution digitised physical inventory counting, barcode-based stock verification, recount management, carton creation, label generation, and inventory lookup into a single mobile-enabled platform — significantly improving inventory accuracy, operational efficiency, and warehouse productivity.
The Challenge
Manual counts, no recount process, and disconnected carton prep
Before implementing the application, MFABI relied on manual inventory counting procedures that involved importing inventory data into spreadsheets and physically comparing stock quantities using paper-based count sheets. Since warehouse personnel manually compared counted inventory against uploaded files, identifying discrepancies was both time-consuming and inefficient.
“There was no standardised process for recounting inventory when quantity mismatches occurred. Incorrect barcode scans, misplaced inventory, or counting errors frequently resulted in discrepancies that required additional manual verification, delaying audits and increasing warehouse workload.”
Pain Points
- Counts run on spreadsheets and paper count sheets
- Manual comparison against uploaded inventory files
- No standardised recount process for mismatches
- Carton sizing, verification, and labels on disconnected systems
- No centralised lookup for stock quantities or product images
Requirements
- Excel upload that auto-generates counting jobs
- Mobile barcode scanning from the warehouse floor
- Real-time comparison of scanned vs recorded quantities
- A recount process to re-validate questionable counts
- Carton management with auto label generation and lookup
The Solution
Five connected modules in one Zoho Creator application
KG CRM Solutions developed a comprehensive Warehouse Inventory Counting and Carton Management Application using Zoho Creator, giving MFABI a centralised platform for physical inventory verification, carton operations, and inventory visibility — all accessible through the Zoho Creator mobile app.
Excel Upload & Job Creation
Warehouse inventory is imported via Excel. The application automatically generates Inventory Count Jobs and assigns them to designated Counter Users.
Barcode-Driven Counting
Counter Users scan product barcodes and record physical quantities from the floor. The app instantly compares scanned inventory against uploaded records to flag shortages, overages, and mismatches
Recount Module
When discrepancies are identified, affected products are automatically marked for recount, letting users re-scan and validate before final reports are generated.
Carton Management
Staff scan products into cartons, calculate carton dimensions by quantity, verify contents by barcode, and generate professionally formatted carton labels directly from Zoho Creator.
Inventory Lookup
Warehouse personnel instantly search products, verify stock availability, and view product photographs in-app — speeding picking, verification, and handling.
Reconciliation Reports
Comprehensive count reports let managers review progress, analyse quantity variances, monitor recount activity, and generate reconciliation reports for operational and client reporting.

Results
A fully digital warehouse inventory operation
The solution was implemented through a phased development approach. Inventory upload functionality was built to import stock via Excel, followed by automated job creation and assignment. Barcode scanning was integrated within the Zoho Creator mobile app, and a recount workflow was introduced to automatically identify discrepancies and generate secondary verification jobs. Reporting dashboards and reconciliation reports gave management complete visibility into counting performance, stock variances, recount status, and audit completion.
Following implementation, MFABI transformed its manual warehouse counting procedures into a fully digital inventory management solution. Warehouse teams now perform barcode-based counts on mobile devices, automatically reconcile discrepancies, generate detailed reports, manage carton preparation, and access inventory information from a single platform — significantly improving inventory accuracy, reducing audit time, streamlining carton operations, and providing complete visibility into warehouse inventory.
