Executive Summary
A growing wardrobe specialist needed a smarter way to import customer data
Boston Wardrobes is one of New Zealand’s leading providers of premium custom wardrobes, sliding doors, and innovative storage solutions. As the business continued to expand, the volume of customer enquiries, contacts, and sales leads generated from multiple channels also increased significantly. Managing these records through spreadsheets and manual imports became increasingly difficult, leading to duplicate records, inconsistent customer information, and time-consuming data management.
To overcome these challenges, Boston Wardrobes partnered with KG CRM Solutions to implement Zoho One as their centralised business platform. After analysing their requirements, KG CRM Solutions recommended Zoho CRM and Zoho Creator to develop a customised bulk data management solution.
The Challenge
Every bulk import risked duplicate, outdated, or junk data
Boston Wardrobes regularly received large Excel spreadsheets containing hundreds of customer contacts and sales leads from different marketing campaigns, business partners, and various offline and online sources. Importing this data manually into their CRM system was both time-consuming and prone to human error — every import carried the risk of creating duplicate contacts and leads.
“The company faced challenges with incomplete records, invalid email addresses, incorrect phone numbers, duplicate rows within spreadsheets, and junk data that reduced the overall quality of their customer database.”
Pain Points
- Manual imports risked creating duplicate contacts and leads
- No automated mechanism to update existing records
- Incomplete records, invalid emails, incorrect phone numbers
- Duplicate rows and junk data within spreadsheets
- Significant time spent validating and cleaning data manually
Requirements
- Bulk upload of large Excel files with automatic processing
- Intelligent duplicate detection and record matching
- Automatic updates to existing records, not overwrites
- Automated filtering of invalid or junk data
- A single source of truth for all customer information
The Solution
A custom Zoho Creator app that thinks before it imports
KG CRM Solutions developed a custom application in Zoho Creator that integrates seamlessly with Zoho CRM, allowing users to upload Excel spreadsheets containing contact and lead information through a simple user interface. Rather than relying solely on standard import functionality, the solution automated data validation, duplicate detection, record updates, and new record creation.
One-Click Excel Upload
A simple user interface lets staff upload Excel spreadsheets containing contact and lead information directly into the system
Intelligent Record Matching
Incoming records are compared with existing CRM data using key identifiers — email address, mobile number, phone number, and other configurable criteria.
Auto Update, Not Duplicate
If a matching record exists, the application updates it with the latest email, phone, mobile, and address details instead of creating a duplicate.
Automated Data Validation
Records with missing mandatory fields, invalid email formats, incorrect mobile numbers, or blank names are flagged before import.
Junk Data Filtering
Duplicate rows, inconsistent formatting, and other business rule violations are automatically filtered and separated from valid data.
New Record Creation
Where no matching record exists, the application automatically creates a new Contact or Lead in Zoho CRM — no manual entry required.

Results
A scalable, future-ready data pipeline for continued growth
Following the successful implementation of Zoho One, Zoho CRM, and the custom Zoho Creator application, Boston Wardrobes transformed its customer data management process. The automated bulk upload solution eliminated duplicate customer records by intelligently updating existing contacts while automatically creating new records only when necessary.
Data validation and filtering ensured that only clean, accurate, and meaningful information entered the CRM system, greatly improving overall data quality. The time previously spent manually reviewing spreadsheets and correcting customer information was significantly reduced, enabling employees to focus on customer engagement and sales activities rather than administrative tasks — delivering a scalable, efficient, and future-ready solution to support the company’s continued growth.
