Evercam partnered with KG CRM Solutions, a Zoho Authorised Partner, to develop a fully customised Field Service and Inventory Management solution using Zoho Creator, Zoho CRM, and Zoho Chatbot. The application digitised every stage of the field service process — enabling engineers to manage installations, track camera inventory, perform maintenance, complete service reports, and update project information directly from their mobile devices while on-site.
The Challenge
Disconnected systems, delayed reports, and hard-to-track equipment
Prior to implementing Zoho Creator, Evercam managed many of its field service activities through spreadsheets, emails, paper forms, and disconnected software systems. Installation records, service reports, inventory details, and engineer updates were maintained separately, resulting in duplicate work, inconsistent data, and limited operational visibility. Engineers often completed reports only after returning from sites, delaying project updates.

Zoho CRM — Central Records
Zoho CRM maintains customer records, project information, installation requests, service history, and communication logs. New installation requests are captured automatically for the team to validate.
Zoho Creator — Field Operations
Installation requests sync to Zoho Creator, where engineers receive assignments and access customer details, project locations, allocated equipment, checklists, and maintenance schedules on-site.
Zoho Chatbot — Customer Engagement
A website chatbot lets customers raise installation requests, enquire about existing installs, request maintenance, and receive service-status updates.
Automatic Enquiry Sync
Chatbot enquiries are automatically converted into CRM records and synchronised with Zoho Creator, eliminating manual data entry and speeding response times.
Equipment Inventory Tracking
Cameras, mounting equipment, routers, batteries, accessories, and replacement parts are tracked centrally, improving allocation visibility across projects.

Zoho CRM was configured to centrally manage customer information, project details, installation requests, and service history. Zoho Creator was developed as the field service platform, enabling engineers to receive assignments, manage camera inventory, complete checklists, upload site photographs, and submit reports directly from mobile devices. The Chatbot was integrated with the website to capture enquiries, automate installation requests, and synchronise them with CRM and Creator.
